| MAY 2, 2011 -- Schools of Instruction are almost complete and the spring Inspection season is in full swing. There are several areas that need clarification regarding the inspection process.
INSPECTION SCHEDULING – Deputies are now on a year-long inspection calendar. That means they are no longer required to inspect during specific times of the year or on the dates that Granges print in their handbooks. Deputies will contact your Grange to schedule a date and it may not be when it has been done in the past.
REPORTS FROM YOUR STATE MASTER – We have promised a quicker turn-around in the reporting to Granges following inspections. Every effort will be made to get reports back to Granges in a timely manner. However, there are several things that may hold up your report and your assistance is greatly appreciated. If a Grange has not prepared properly for the inspection by having all records and information available on the night of inspection, the inspection will not be considered complete. If there are errors on the inspection report (either on the part of the Grange or the Deputy) the report will be returned for correction, taking more time.
Most importantly, EXECUTIVE COMMITTEE REPORTS must be BALANCED. This means the total derived from adding and subtracting the September 30, 2009 “Cash”, “Receipts” and “Disbursement” sections at the top of the form MUST MATCH the total of the September 30, 2010 Cash section on the bottom. Imbalanced reports will be returned to Granges for correction and the inspection will be on hold until complete. If a corrected E.C. report is required, please file an amended copy with the State Secretary as well.
We know this inspection cycle will be a learning process for everyone and know that things will be much easier for all next year as we are more accustomed to the process.
